ENROLMENT DETAILS

How To Enrol

We like for students at CEACC to make a fully informed choice when enrolling in classes so we do not take enrolments over the phone, please feel free to come in and talk to our enrolment officer about our enrolment process. If you wish to have a discussion about enrolling in one of our courses our office hours are Monday to Friday 9 am to 4 pm. After a discussion with our enrolment officer you can mail your fee to us by either money order or cheque (payable to Craigieburn Education And Community Centre) with details of your name, the course/program you wish to enrol in, your daytime phone number and email address so we can confirm your booking at a later date. Places are limited therefore we encourage early enrolment to be assured a place in one of our classes or programs.

Proof of Citizenship

If you are enrolling into one of courses you will need to provide us with correct proof of citizenship; otherwise your enrolment might be invalid. CEACC will cancel your enrolment if you provide us with false information.

The Enrolment Form

Completing and signing of an enrolment form by participants is a requirement placed on CEACC by various Government agencies for insurance, funding and educational record purposes. Support from these agencies allows CEACC to charge you a minimal amount for the programs you wish to participate in.

Accessibility

CEACC aims to provide high quality, low cost programs that are accessible to all sectors of the community including special needs students. These include courses in computer skills, vocational education, recreation, crafts, lifestyles and hobbies. If you have special needs, please discuss these with our staff at enrolment.

Course/Program Content

Please ensure you understand the content of the course or program you are enrolling in as no refunds will be given for dissatisfaction of content.

We reserve the right to revise and amend these terms and conditions from time to time.

Children In The Class Room

Children are not permitted in the class rooms with other adults or in any other area of the Centre unsupervised. Please utilise our Occasional Care service if you need care for your children whilst attending a course.

Program Evaluation

Feedback from our participants is critical to the continuous improvement of our organisation. Towards your program/course you may be asked to provide some sort of feedback. Please take the time to ensure your honest feedback is given.

Age of Participants

Unless otherwise stated participants in our Vocational Education Courses must be over the age of 17.

Permission to Use Your Image For Promotional Purposes

CEACC reproduces photographs in its marketing material such as in publications, Facebook and on our website for promotional purposes. CEACC would like to be able to use and reproduce photographs of you for this purpose and is seeks your consent to do so on our Enrolment Form. If you do not wish for us to use your image please state so on the Enrolment Form where indicated.

Public and School Holidays

CEACC is closed during the Christmas / New year break (normally a 4 week period) and during all public holidays. Staff are in attendance during normal school holidays. Programs and courses are not conducted during this time unless it is a specific school holiday program.

Acceptance of these terms and Conditions

Signing the relevant enrolment form is an acceptance of these terms and conditions.

OUR COURSE STRUCTURES

Nationally Recognised Courses

A course/unit that is accredited will be identified on the term brochure. An accredited unit/course means that the qualification that is offered is recognised by the Victorian Registration and Qualifications Authority (VRQA) and is recognised nationally. There is a separate enrolment process for accredited courses and student may be required to have a pre training interview. To successfully complete unit/course students will be required to meet certain competencies that will be identified by the Tutor. Participants who do not achieve competency will receive a certificate of participation. (Please refer to the conditions in the Non-accredited courses section). Participants can make individual arrangements with the CEACC’s Executive Officer if they wish to reattempt or negotiate further the completion of accredited modules.

Assessment and Re-sit Details

Assessment procedures (if applicable) are explained in the course related pamphlet and also in your assessment booklet. There are no additional fees for a re-sit of your assessment.

RPL/Credit Transfer

Accredited courses may qualify for ‘Recognition of Prior Learning’ consideration. This means that experiences you may have gained through life, work and study may be assessed and you may receive credit for some modules. CEACC also acknowledges other Registered Training Organisations and offer a credit transfer to students who can show a certificate of attainment. RPL/RCC/CT can only be given for a whole module or unit. Please speak to a staff member if you wish to know more about RPL/RCC.

Non-Accredited Courses

Non-accredited courses are developed and delivered in accordance with the ACE framework for non-accredited learning, ‘building on the best’ framework. All participants are expected to attend at least 80% of the classes to receive a Certificate of Participation.

FEES AND REFUNDS

Booking Fees

A non-refundable booking fee of $20 is expected at the time of booking in for any of our classes or programs (except the occasional care program) however places are not confirmed until full payments have been received. We reserve the right to offer your position within the course to another interested participant if your fees are not fully paid 5 business days before the commencement of the course.

Course Fees

Fees must be paid on enrolment. If an approved Purchase Order is provided, an invoice will be issued however the fees must be paid no later than 14 days following the date of the invoice. If the fees have not been paid within 14 days the enrolment may be cancelled. An enrolled participant will be notified prior to this occurring. All fees are kept to a minimum. We do not want people to feel excluded because of financial difficulties. If the cost is a problem please speak to the office staff to arrange concessions or discuss other alternatives.

Amenities & Materials

Fees An Amenities fee totalling $30:00 per term is also applicable. Some courses also require materials such as work books and manuals. Once a materials fee has been paid the workbook and manual will be retained by the participant. Please Note: As a means to audit the effectiveness of Government assisted places, you may receive a NCVER survey and/or invitation to participate in a Departmental endorsed project.

ACFE Government Subsidised Places

Subsidies are available for residents or citizens who meet a certain criteria in our pre-accredited courses. These courses are charged in line with the Ministerial Directive on fees for government assisted courses. There are minimum fees payable per academic year. Details on these may be obtained by calling the office. Please note: In line with Ministerial Directive 2.6, Full fees are required for enrolments which already receive government tuition assistance.

Concessions

Some concessions are available for holders of Commonwealth Health Cards and Veteran Affairs Gold Cards for educational classes only. The type of course you enrol in will determine what sort of concession is applicable to you. Let us know at the time of your enrolment if you hold any of these cards so the concession policy applicable can be further explained. You must present your valid concession card at the time of enrolment to receive your discount.

Non– Attendance

As CEACC is a not for profit organisation that conducts classes on a break even basis, no refunds or transfer of fees will be issued once a course has commenced. The onus is on the participant to attend the course. Once a course commences, it is up to you to attend your allotted class as enrolments are not transferable. No refunds or transfers will be issued should you fail to attend part or the entire program. (refer to our refund policy).

Refunds

CEACC reserves the right to cancel or postpone courses due to unforeseen circumstances. If this occurs we will make every effort to ensure that participants for cancelled programs are placed on the next available time or a full refund will be issued. CEACC will only refund course fees following written advice of withdrawal received up to five working days before the course is due to commence. Refunds will be issued minus the booking fee and fees for any materials provided by CEACC. We regret that no refund can be made for withdrawals received less than five working days before a program has commenced. There are no refunds for books and materials purchased by CEACC on behalf of the student.

GST

GST applies to non-vocational educational programs and is included in the quoted price.

SUPPORT SERVICES

Photocopying and Printing

Photocopying and printing services is available to students attending one of our vocational education courses at the reduced rate of 10 cents per A4 sheet. Please speak to staff is you require any of these services.

Smoking

Selwyn House is a no smoking environment inside the building and this includes the main entry area. People who need to smoke are asked to go the outside area on the south side of the building near the smokers pole. We ask that you do not subject any other people to the inhalation of smoke from your cigarettes.

Parking

CEACC is located at Selwyn House on the corner of Selwyn and Dianne Avenues in Craigieburn. A well-lit car park is available alongside the building for students attending a course.

Public Transport

A metropolitan bus service stop is located on Craigieburn Road, approximately 100 metres from the Centre.

Security

Selwyn House is linked to a Security monitoring company via an electronic system.

Refreshments

Tea and Coffee is provided in our kitchen. Cold drinks may be obtained from our staff and a snack vending machine is located in the foyer.

Toilets

Normal toilet facilities are available. This includes a disabled toilet.

POLICIES

Events Beyond Our Control

CEACC will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations that is caused by events outside our reasonable control (Force Majeure Event). A Force Majeure Event includes any act, event, non-happening, omission or accident beyond our reasonable control. Our performance is deemed to be suspended for the period that the Force Majeure Event continues, and we will have an extension of time for performance for the duration of that period. We will use our reasonable endeavours to bring the Force Majeure Event to a close or to find a solution by which our obligations may be performed despite the Force Majeure Event.

Complaints or Grievances

If you are dissatisfied with any aspect of the course please speak to the Tutor or Executive Officer. If you feel that your dissatisfaction has not been addressed then you may want to put your complaint in writing. Refer to the Grievance Policy for details on how to do this. Every reasonable effort will be made to address the issue.

Termination Of Enrolment

CEACC reserves the right to terminate the enrolment of any participant whose behaviour is inappropriate, violent, threatening or in breach of the CEACC’s discrimination policies. Where a participant’s enrolment is terminated, a partial refund of fees (in relation to the number of classes remaining), less a $40.00 administration fee, will be made and the misbehaviour may be reported to police.

Workplace Health and Safety

CEACC aims to ensure the health, safety and welfare of all its employees and others who enter its premises and course venues. Similarly, attendees must also be aware of their duty to take responsible care of the health and safety of others, and respect the rights of other attendees and trainers. Attendees are required to comply with the rules of conduct on the training premises and follow any reasonable instructions of the trainer.

Legislative Requirements

CEACC will meet all legislative requirements of the State and Federal Governments.

The Student Handbook

CEACC has developed a detailed Policy and Procedure Manual for the operational management of the centre. A condensed version of these can be located in the Student Handbook. You can access the Handbook by asking staff or by perusing a copy on our website. www.craigieburn.org.au

Privacy Notice

CEACC is required to provide the Victorian Government through the Department of Education and Early Childhood Development (DEET) with student and training activity data which may include private information. This information is required to be provided in accordance with the Victorian VET Student Statistical Collection Guidelines which are available at: http:// www.education.vic.gov.au/training/ providers/rto/Pages/ datacollection.aspx DEET may use the information provided to it for planning, administration, policy development, program evaluation, resource allocation, reporting and/or research activities. For these and other lawful purposes, the Department may also disclose information to its consultants, advisers, other government agencies, professional bodies and/or other organisations. You may be contacted and requested to participate in a National Centre for Vocational Education Research survey or a Department-endorsed project or audit review. The Education and Training Reform Act 2006 requires CEACC to collect and disclose personal information for a number of purposes including the allocation of a Victorian Student Number (VSN) and updating personal information on the Victorian Student Register.

Copyright & Intellectual Property

Any Materials supplied by CEACC to the student, including but not limited to Training Course materials (in document format, electronic format or otherwise), are for the student’s personal non-commercial use. Save for this, the student must not republish, licence, transfer, copy, reproduce or post on the internet, any of CEACC’s materials without CEACC’s prior written consent.

POST-COURSE INFORMATION

Statements of Attainment

If you are completing a nationally recognised course you are entitled to a formal Statement of Attainment that will be provided to you at no additional cost at the end of your course. If you withdraw, cancel or transfer prior to completing the qualification you will receive a Statement of Attainment for the units of competency you have achieved. This is on the condition that you have successfully completed and paid in full for the tuition related to the units of competency to be shown on the Statement of Attainment.

Collection of Certificates

Certificates will be ready for collection from CEACC’s premises 7 days after the completion of your course.

Access To Records

Should you require information from or a copy of your student records that are held by CEACC, please contact the office.

Reissue Of Certificates

CEACC will reissue a Qualification or Statement of Attainment to a client if requested by that client in writing. To protect their privacy, copies will only be provided to the person named on the certificate. An administration fee of $10.00 for the replacement certificate is applicable. Refer to our policy for full details.

Pathways

When the class or program you are participating in is nearing completion, you might be wondering what the next step is. Some people are happy to finish their class and not enrol in further programs, others like to find out what else is available. To assist you, the staff and tutors at CEACC are provided with information about further classes that might be applicable to you at CEACC or other pathways of learning that you might like to take which incorporate adult education at other levels. Please do not hesitate to ask us about these.
